# Reports and exports - NexPay

**TL;DR:** The Reports page lets you export your payments, payers, or students to a CSV spreadsheet. Choose what to export and any filters, and NexPay prepares it in the background — you'll be emailed when it's ready to download, and you can watch its status (Queued, Preparing, Ready, Failed). Commissions have their own export: on the Commissions page you can download a CSV for a chosen month. Reports is a staff feature.

## Getting your data out for the books

At some point someone in finance asks for "all the payments this quarter" or "our commissions for May" in a spreadsheet. NexPay has two ways to hand that over: the **Reports** page for payments, payers, and students, and a dedicated **commissions export** on the Commissions page. This article covers both, so you know exactly which to reach for.

> **For finance and admin:** Reports is built for reconciliation and accounting. If you close the books monthly, the commissions export and a dated payments report together cover most of what you'll need.

## The Reports page

Open **Reports** from the "Others" menu. It's where you turn your activity into a downloadable spreadsheet.

To create one, choose **New report**, then pick **what to export**:

- **Payments** — your payment activity
- **Payers** — the people and companies who send funds
- **Students** — your student records

You can apply **filters** so the export contains just what you need — for example, narrowing payments by purpose (tuition, refund, payroll, and the like), or payers by type (individual or business). Set these when you create the report.

Once you submit, NexPay prepares the file in the background — you don't have to wait on the page. The report moves through a few statuses:

- **Queued** — lined up to start
- **Preparing** — being put together now
- **Ready** — done; download it
- **Failed** — something went wrong; try again

You'll be **emailed when it's ready**, and you can come back to the Reports page to download it. The file is a **CSV** — a spreadsheet you can open in Excel, Google Sheets, or your accounting software.

> **Quick tip:** Set the filters before you submit rather than exporting everything and trimming it afterwards. A focused report — say, tuition payments for a date range — is far quicker to reconcile than a giant export you have to cut down.

## Exporting your commissions

Commissions have their **own** export, separate from the Reports page. On the **Commissions** page, use the export control to download a **CSV for a specific month** — step back and forward through the months and download each one you need.

This is the fastest route when accounting asks for "the commissions for [month]." It's a clean, month-by-month CSV rather than something you assemble from the Reports page.

> **Worth knowing:** Because commissions export per month, monthly reconciliation is straightforward — grab each month's CSV as you close it. ## What about settlements?

If you're a school or provider reconciling money settled to you, the **Settlements** page is where you download each settlement's receipt and remittance advice. ## A note on automated exports

## Frequently asked questions

### What can I export?

From the Reports page you can export your payments, your payers, or your students, each as a CSV spreadsheet. Commissions are exported separately from the Commissions page, where you can download a CSV for a specific month. There isn't a single combined export — you choose the one you need.

### What format are exports in?

CSV (a spreadsheet file you can open in Excel, Google Sheets, or your accounting tool). The Reports page describes it as "a spreadsheet you can download." Commissions export the same way, as a CSV per month.

### How do I create a report?

Open Reports (under the "Others" menu), choose New report, pick what to export and any filters, and submit. NexPay prepares it in the background. ### Why can't I see the Reports page?

Reports is a staff feature, so it's hidden from students and from anyone whose role or organisation doesn't include it. If you expect it and it's missing, it's an access setting — ask your admin or contact the support team. See roles and what you can see.
