# Profile and organisation settings - NexPay

**TL;DR:** Your Profile (in the account menu) holds your name, password, and personal details. Settings holds your organisation — its identity, address, contact details, notification emails, and bank details — though much of it is editable only by admins. Getting your notification emails right matters: they're who hears when a payment needs attention. Settings also has Users and API Keys tabs.

## Two kinds of settings

There are two places to manage how NexPay works for you, and it helps to keep them straight. **Profile** is about *you* — your name, your password, your details. **Settings** is about your *organisation* — its details, your team, and the technical connections. Profile is for everyone; the organisation parts of Settings are mostly for admins and managers.

This article covers both, and flags which bits need admin rights.

> **For admins:** The Organisation tab is yours to keep current — especially the contact details and notification emails, which determine who hears about a payment that needs attention.

## Your profile

Open your account menu in the top corner and choose **Profile**. Here you can confirm and update your personal details and change your **password**. It's worth a glance when you first join, since your details can appear on payments and in communications.

If you're ever locked out and can't reach Profile, the **"Forgot password"** link on the sign-in screen resets your password by email — no support ticket needed for that.

## Your organisation

Admins and managers will also use **Settings** (in the account menu), which opens on the **Organisation** tab. This holds:

- **Identity** — name, legal entity name, type, tax ID, website, and code. These are mostly set up for you and shown as read-only.
- **Address** — your organisation's address.
- **Contact details** — the contact first and last name, email, and phone.
- **Notification emails** — the addresses that receive alerts.
- **Bank details** — for organisations that receive money (more below).

To make changes, click **Edit**, update the fields you can change — typically the contact details and notification emails — and **Save**. The identity fields are generally fixed; if one is wrong, that's a support conversation.

> **Important:** Notification emails are easy to overlook and genuinely important. They're who gets told when a payment goes on hold or needs something. Setting them to the right people — not just one person who might be on leave — means nothing waits unseen. It's worth two minutes to get right.

## About the bank details

If your organisation **receives** money through NexPay — settlements as a school, or commission payouts as an agent — its bank details live in the Organisation settings, added once and verified so you don't re-enter them each time.

A point worth repeating: these bank details are **only for money coming to your own organisation**. You never add a *school's* bank details to pay a school — NexPay already holds verified institution accounts on file. The two are entirely separate, and conflating them is a common early misunderstanding.

> **Worth knowing:** Because your receiving bank details are verified and stored once, your settlements and payouts land in the right place automatically. If those details ever change, update them here so payouts aren't disrupted.

## Frequently asked questions

### How do I change my password or personal details?

Open your account menu in the top corner and go to Profile. You can update your details and password there. If you can't log in to reach it, use the "Forgot password" link on the sign-in screen to reset by email.

### What's the difference between Profile and Settings?

Profile is about you — your name, password, and personal details. Settings is about your organisation — its details, your team, and API keys. Profile is for everyone; much of Settings is limited to admins and managers.

### What are notification emails and why do they matter?

They're the addresses that receive alerts when something needs attention — like a payment going on hold. Getting them right means the correct people hear about an issue promptly rather than it sitting unnoticed. Admins can edit them in the Organisation tab of Settings.

### Who can edit the organisation's details?

Editing organisation details is limited to admins and managers. Regular users can typically view but not change them. If something needs updating and you don't have the option, ask whoever manages your NexPay account.

### What bank details are in the organisation settings?

If your organisation receives money — settlements or commission payouts — its bank details are held here, added once and verified. These are only for money coming to your own organisation. You never add a school's bank details to pay a school; those are already on file.

### What else is in Settings?

Besides the Organisation tab, Settings has a Users tab for managing your team (managers only) and an API Keys tab for creating keys to connect NexPay to other systems. Both are covered in their own guides.
