# Receipts and remittance advice - NexPay

**TL;DR:** Once a payment reaches Paid, open it and use "Receipts & remittance" to download a receipt for the payer and a remittance advice for each recipient. These are your proof the money was sent and received — useful for the payer's records and for the institution to confirm the payment against a student account. They become available only after the payment is paid.

## Proof the money arrived

When a payment is done, people want paperwork — the payer wants confirmation they paid, and the institution wants confirmation it was paid. NexPay generates both automatically once a payment is complete, so you're never left screenshotting a status page to prove a transfer happened.

This article shows you where those documents live and which is which.

> **For schools:** The remittance advice is the document your finance team will reconcile against. It confirms exactly what landed for a given recipient, which makes matching a payment to a student account straightforward.

## The two documents

NexPay produces two kinds of confirmation for a completed payment:

**Receipt** — confirms what the payer paid. One per payment, from the payer's side.

**Remittance advice** — confirms what a recipient received. One per recipient, so a payment to several recipients produces several remittance advices.

Between them, they document both ends: money sent, and money received. That covers almost any "can you prove it?" request you'll get.

## Where to find them

Once a payment is paid:

1. Open the payment from the **Payments** page.
2. Use the **Receipts & remittance** action — it's on the payment's row menu and on its detail page.
3. In the dialog, download the **payer receipt** and the **remittance advice** for each recipient.

Paid payments also show a quick download icon right in the list, so you can grab the documents without opening the payment first.

> **Quick tip:** If you regularly send proof to institutions, the remittance advice is usually the one they want. Keep the receipt handy too for the payer's own records.

## Why it's only available once paid

You'll notice the option is greyed out until the payment reaches a paid status, with a note that it becomes available once the payment is paid. That's deliberate: there's nothing to confirm until the money has actually been sent and received. A receipt for an unfinished payment would be meaningless, so NexPay waits until the payment is genuinely complete — including a partially paid payment, where the settled recipients' documents become available.

## What the payer sees

A payer who completes a payment through a link gets a confirmation screen at the end and can print it on the spot. For payments you handle on someone's behalf, you can download the receipt from the payment and pass it along — by email, or however you usually keep them updated.

## Frequently asked questions

### What's the difference between a receipt and a remittance advice?

A receipt confirms what the payer paid. A remittance advice confirms what a recipient received — there's one per recipient. Together they document both ends of the payment. Schools often want the remittance advice to match the payment to a student's account.

### When can I download them?

Once the payment reaches Paid (paid in full, or partially paid where some recipients are settled). Before that, the option is there but greyed out, with a note that it's available once the payment is paid. That's because there's nothing to confirm until the money has actually moved.

### Where exactly is the download?

Open the payment from the Payments page. Use the "Receipts & remittance" action — either from the row's menu or on the detail page — and a dialog lets you download the payer receipt and each recipient's remittance advice. Paid payments also show a quick download icon in the list.

### My school is asking for proof of payment. Which document do I send?

Send the remittance advice for that recipient — it confirms the funds the institution received. If they also want to see what was paid from the payer's side, include the receipt. Both are official confirmations generated by NexPay.

### Can the payer get their own receipt?

After paying through a payment link, payers see a confirmation and can print it at the end. For payments you manage on their behalf, you can download the receipt from the payment and share it with them.

### The download is greyed out. Why?

The payment hasn't been paid yet. Receipts and remittance advice only exist once the money has been sent and received, so the option stays disabled until the payment reaches a paid status. Check the payment's status to see where it is.
