# Finding and organising your payments - NexPay

## Where are my payments?

This is the question you'll answer most often, so it's worth knowing the Payments page well. Open **Payments** from the top menu and you land on a single list that holds everything you've created. From there, the page is organised to help you find any payment fast — first by type, using tabs, then by detail, using filters.

> **For agents and schools:** The tab you'll live in depends on your work. Agents handling tuition spend most of their time in "Tuition & other fees"; finance teams reconciling incoming money watch "Invoices receivable." Find your tab and bookmark the habit of checking "Needs action."

## The tabs, explained

The page opens on **All payments** — every payment, regardless of type. That's the right place when you're not sure where something is. The other tabs each narrow the view to one kind of payment:

- **Needs action** — payments waiting on you: ones that failed, need recovery, or are ready to be sent. Your to-do list.
- **Tuition & other fees** — education payments to institutions, including ones where you take a fee split. Splits are marked so you can tell them apart from direct payments.
- **Refunds** — money going back to students, whether funded by you or by a partner.
- **Invoices receivable** — payments coming *to* you: service invoices and commission a partner owes.
- **Partner payments** — payments out to suppliers, and allowances to individuals.
- **Reissues** — replacement payments created from earlier ones that needed re-doing.
- **Payroll** — batches that pay multiple employees under a single payment. You can expand a payroll batch to see each employee.

Set apart on the right is one more:

- **Reusable payment links** — the shareable links you've created, with how many times each has been opened and paid. It's grouped separately because a link is something you create and reuse, not a single payment.

> **Worth knowing:** You'll only see tabs that apply to you. If your organisation doesn't use payroll or payment links, those tabs simply won't appear. That's normal — see [roles and what you can see](/training/getting-started/roles-and-what-you-can-see.md).

## Narrowing down with filters

Within any tab, the filters at the top help you find a specific payment. You can filter by **date** and by **status** (for example, only the ones that are still processing, or only those on hold). For tuition and similar, you can also filter by **type** — individual, business, or schools and agencies.

Combine a tab and a filter to zero in quickly: "Refunds" + a date range, or "All payments" + status "On Hold" to see everything that needs a look.

> **Quick tip:** If you're chasing down a problem, start with "All payments," set the status filter to **On Hold**, and you'll see everything paused for a check in one place. Then open each to see what it's waiting for.

## Opening a payment

Click any row to open that payment's detail page. That's where you'll find the full story — its status timeline, the people involved, the money flow, documents, and any actions available to you (like downloading receipts or reissuing). ## Make "Needs action" a habit

Of all the tabs, **Needs action** is the one worth checking regularly. It surfaces anything that's stuck or waiting — a payment that needs a document, one that failed and can be retried, or one that's ready for you to send. Glancing at it once a day means problems get caught early, while they're still easy to fix.

> **If something's in Needs action and you're not sure why,** open it and read the status. NexPay tells you what it's waiting for. Often it's a quick fix — a missing document or a detail to confirm — and clearing it is faster than it looks.

## Frequently asked questions

### Where do I find a specific payment I made?

Open Payments from the top menu. It starts on "All payments," which shows everything. If you know the type, click its tab (Tuition & other fees, Refunds, and so on) to narrow the list, then use the date and status filters at the top to find the exact one. You can also click into any payment to see its full detail page.

### What is the "Needs action" tab for?

It gathers payments that are waiting on you — ones that failed, need recovery, or are ready to be sent. Think of it as your to-do list. Checking it regularly is the best way to make sure nothing stalls without you noticing.

### What's the difference between "Tuition & other fees" and "Partner payments"?

"Tuition & other fees" holds education payments to providers, including ones where you take a fee split. "Partner payments" holds payments to suppliers and allowances to individuals. They're separated so you can focus on one kind of work at a time.

### What are "Invoices receivable"?

These are payments coming to you — service invoices and commission a partner owes you, created through the "School or partner pays" scenarios. They sit apart from your outgoing payments because the money flows the other way.

### Why is "Reusable payment links" set apart from the other tabs?

Because a payment link is a thing you create and share, not a one-off payment event. The links tab shows your shareable links and how many times each has been used, so it's grouped separately on the right.

### Can I export my payments?

Yes — the Reports area lets you export summaries of your activity. For commissions specifically, there's an export option on the Commissions page. See the reports and commissions guides for details.
