# Managing students - NexPay

## Who the payment is for

Tuition payments revolve around a student, even when the student never touches the payment themselves. NexPay keeps a **student** record for exactly that reason — to track who each payment benefits, separately from who pays for it and who receives it. It's the third piece of the picture alongside payers and recipients.

This article covers adding students and linking them to the people who fund their fees.

> **For agents and schools:** A student record ties a family's payments together. When a parent makes the third payment of the year, having the student on file means you select rather than re-enter, and you can see the whole history at a glance.

## Adding a student

From the **Students** page, click **Add Student**. The details are deliberately light:

- **First name**
- **Last name**
- **Email**

That's enough to create the record. Once saved, the student can be selected during the payment wizard's student step, so you're choosing an existing record rather than typing the same details each time.

## Linking students and payers

A student record becomes most useful when you link it to the **payer** (or payers) who fund the student's fees. Linking records who pays for whom.

Importantly, a student can be linked to **more than one payer** — which mirrors real life. A parent and a grandparent might both contribute; a student might pay some fees themselves and have a relative cover others. The links capture that, and they make setting up future payments faster, since the relationships are already on file.

> **Quick tip:** When you add a payer and a student for the same family, link them straight away. It's a small step that pays off every time you create a payment for that student afterwards.

## Seeing a student's activity

Open a student's detail page and you get a single view of everything tied to them — their **linked payers** and the **payments** related to the student. Instead of hunting across your payments list, you see one student's full story in one place. That's handy when a family asks about a past payment, or when you're reconciling who's paid what.

## Keeping student records connected

As you add students, some may not be linked to a payer yet. The **Students** page lets you filter by **linked status** — all, linked, or unlinked — so you can quickly find records that still need connecting. A student linked to the right payer is a student whose next payment is quick to create.

## A note on logins

A student record is something you create to track who a payment is for. It's not the same as that person having their own NexPay login. A student or family member can pay through a [payment link](/training/payment-links/what-your-payer-sees.md) without ever needing a dashboard account — the record on your side and their payment on theirs are different things.

### What's a student record for?

It represents the person a payment is for, kept separate from who pays (the payer) and who's paid (the recipient). Having students on file means you can link them to payments and payers, and see everything tied to one student in one place — useful when a family makes several payments over time.

### How do I add a student?

A student record is something you create to track who a payment is for; it's separate from a person having their own login. A student or family member can pay through a payment link without needing a dashboard account of their own.

### What if the student is paying their own fees?

That's common, and it's fully supported. The simplest route is the agent or school sending the student a payment link, which the student opens and pays themselves — no dashboard needed. If you're building the payment for them, you record them as the student and also choose "Student" as the payer type, since they're both the person the payment is for and the one sending the money. Their identity document is what gets verified as the payer.
