# Your first login and account setup - NexPay

**TL;DR:** The first time you sign in, you'll accept the terms and conditions (a one-time step), then land on the home screen. Set your password, check your profile details, and — if you're an admin — review your organisation's details and contact information under Settings. Once that's done, you're ready to add recipients and create your first payment.

## Your first few minutes

Signing in to a new payments platform for the first time can feel like standing in front of a control panel with too many buttons. It isn't, really — getting set up takes only a few steps, and most of them are things you do once and never think about again. This article walks you through them in order.

What you'll do depends a little on your role. If you're an admin setting up your organisation, you've got a couple of extra steps. If you've been invited as a team member, you'll be up and running in minutes. We'll flag which parts apply to whom.

> **For admins and managers:** You'll set up your organisation's details and can invite your team. The sections on organisation settings and inviting colleagues are for you.

> **For everyone else:** Focus on accepting the terms and checking your profile. The rest is handled for you.

## Step 1: Accept the terms

The very first time you sign in, a window appears asking you to agree to NexPay's terms and conditions. This is a one-time step (it reappears only if the terms are ever updated). You can open the full terms and the privacy policy from the links in that window.

Click **Agree** to continue into the dashboard. If you click **Disagree**, you'll be signed out — we can't run your account without agreed terms, so there's no way around this one. It takes a moment and then it's behind you.

## Step 2: Set your password and check your profile

If you arrived through an invitation link, you'll be prompted to set a password as part of activating your account. Choose something strong and unique.

Once you're in, open your account menu in the top corner and go to **Profile**. Take a moment to confirm your name and details are correct — these can appear on payments and in communications, so it's worth a quick glance. You can change your password here any time.

> **Quick tip:** If you ever get locked out, the "Forgot password" link on the sign-in screen sends you a reset email. No need to contact support for a simple password reset.

## Step 3 (admins): Review your organisation

If you're an admin or manager, the next thing worth doing is checking your organisation's details. Open your account menu and go to **Settings**, then the **Organisation** tab.

Here you'll find your organisation's identity (name, legal entity, type, tax ID, website), its address, and — importantly — your **contact details** and **notification emails**. The contact details are who we reach out to about payments. The notification emails are the addresses that receive alerts when something needs attention.

Most of the identity fields are set up for you and shown as read-only. The contact information and notification emails are the parts you can edit: click **Edit**, make your changes, and **Save**. Getting the notification emails right early means the right people hear about a payment that needs action, rather than it sitting unnoticed.

If your organisation receives money — settlements as a school, or commission payouts as an agent — this is also where your bank details live. They're added once and verified, so you don't re-enter them for every payout.

> **Important:** You never need to give us your *school's* bank details to pay a school. We already hold verified institution accounts on file — that's one of the ways we make sure tuition reaches the right place. The bank details in your organisation settings are only for money coming *to* your own organisation.

## Step 4 (managers): Invite your team

If colleagues will be working in NexPay alongside you, you can invite them. In **Settings**, open the **Users** tab and click **Invite User**. You'll enter their email, first name, and last name, and they'll get an email invitation to set up their own login.

## Step 5: You're ready

That's the setup done. From here, the natural next steps are to add the recipients you'll be paying and to create your first payment. You don't have to do everything at once — add what you need when you need it.

> **If you're following along:** Open the **Payments** page from the top menu and you'll see the **Create a Payment** button in the corner. You don't have to start one now, but it's good to know where it lives.

## Frequently asked questions

### I was asked to accept terms and conditions before I could do anything. Is that normal?

Yes. The first time you sign in (or whenever our terms are updated), a window asks you to agree before continuing. It's a one-time step. You can read the full terms and privacy policy from the links in that window. If you choose to disagree, you'll be signed out, since we can't operate your account without agreed terms.

### How do I change my password?

Open your account menu in the top corner and go to Profile. You can update your password there. If you've forgotten it and can't log in, use the "Forgot password" link on the sign-in screen to reset it by email.

### Do I need to add my bank details to get started?

For sending payments, no — you don't add a recipient's bank details to your own account, and you never need to provide your school's bank details to pay them (we already hold verified school accounts on file). If your organisation receives settlements or commission payouts, an admin adds those bank details once under Settings, in the Organisation section.

### Who can change the organisation's settings?

Organisation details, team management, and similar settings are limited to admins and managers. If you're a regular user and need something changed — a new team member added, a contact email updated — ask whoever manages your NexPay account, or reach the support team.

### I signed up but some menu items are missing. Did I do something wrong?

Almost certainly not. Your menu reflects your role and what your organisation has enabled. New accounts sometimes start with a narrower set of features that get switched on as you're verified. If something you need is missing after a day or two, reach out and we'll check.

### Can I invite my colleagues?

If you're a manager, yes. Go to Settings, open the Users tab, and use "Invite User" to send an email invitation. They'll set up their own login from the link. See the team management guide for the full walk-through.
