# Settlements - NexPay

## The money landing with you

For most of this training, "payment" means money going out — a family paying tuition. Settlements are the other side of that: the money paid out **to your organisation** once payments are processed. If you're a school receiving tuition or an agent receiving funds, the **Settlements** page is your record of what's landed and the paperwork to prove it.

This article covers what's on the page and the documents you can download.

> **For school finance teams:** Settlements are where reconciliation lives. Each settlement carries a receipt and a remittance advice, so matching funds received against your own ledger is a download away.

## What's on the Settlements page

Open **Settlements** from the "Others" menu and you'll see a list of your settlements, each with its **status** and **date**. The page includes filters so you can narrow by **status** or **date** and search — useful when you're looking for a particular payout or totting up a period.

Each settlement represents funds paid out to your organisation, so the page as a whole is a running record of money received through NexPay.

## The documents you can download

Open a settlement and you can download two documents:

- **Receipt** — the settlement confirmation
- **Remittance advice** — the payout confirmation for the payee

Between them, they document the settlement from both angles, which is exactly what a finance team needs to reconcile a payout against expected funds. Keep them with your records, or attach them where your accounting process requires.

> **Quick tip:** If you reconcile monthly, filter settlements by date for the period and download the documents in one pass. It's faster than opening each settlement cold.

## What the statuses mean

A settlement carries a status that tells you where it is:

- **Queued** — lined up to be processed
- **Submitted** — sent for processing
- **Generated** — prepared
- **Paid** — complete; funds paid out
- **Cancelled** — didn't proceed
- **Failed** — couldn't complete

**Paid** is the one that confirms the money has been paid out to you. The earlier statuses are stages on the way; Cancelled and Failed indicate it didn't complete, in which case your NexPay contact can explain what happened.

## Who sees settlements

Settlements are available to **management users of an agent or provider organisation**. If you don't see the page in your menu, that's the likely reason — either your account isn't a management user, or settlements aren't enabled for your organisation. As with any access question, your admin can adjust per-person permissions, and the support team can help with organisation-level settings. ## Settlements versus commissions

A quick clarification, since both relate to money coming to you:

- **Commissions** are what you earn on the exchange and **withdraw** in a batch (see [understanding commissions](/training/commissions-and-settlements/understanding-commissions.md)).
- **Settlements** are the broader record of funds **paid out to your organisation**.

A school receiving tuition sees settlements; an agent may see both, depending on their setup. They answer different questions — "what have I earned and withdrawn?" versus "what's been paid out to us?"

### What is a settlement?

A settlement is the money paid out to your organisation once payments are processed. Where payments track money coming in, settlements track it landing with you. The Settlements page is your record of those payouts, each with documents you can download.

### Where do I find settlements?

Open Settlements from the menu (under "Others"). You'll see a list of your settlements with their status and date. Use the filters to narrow by status or date, and open one to download its documents.

### What documents can I download for a settlement?
